Project Coordinator | MA


Tocci Building Corporation is currently looking for qualified candidates to join our project support team. The Project Coordinator provides administrative and clerical support to project and field management teams in the areas of accounting, documentation, reporting, and stakeholder relationships.

Responsibilities

Project Mobilization, Maintenance, and Demobilization

  • Coordinates supply and return of goods associated with site mobilization, maintenance and demobilization
  • Assists Superintendents and/or IT in setting up and closing accounts for project-based services
  • Coordinates and validates billings from service providers and vendors

Project Execution

  • Prepares Letters of Intent, Subcontracts and Purchase Orders as directed
  • Issues and tracks Letters of Intent and Subcontracts
  • Assures Certificates of Insurance are current
  • Identifies and manages Prime Contract requirements that impact Subcontractor performance
  • Processes Lien Waivers

Project Administration

  • Maintains project electronic and paper files
  • Assists in preparing project permits, DEP applications and any client-specific items
  • Schedules, prepares, and participates in monthly project meetings
  • Assists with reporting requirements related to safety, LEED, OCIP, and EEO/AA programs

Project Financial Support

  • Acquires project budget from Cost Engineering and enters data into appropriate systems prior to issuing Subcontracts and incurring project costs
  • Creates and maintains all financial logs as directed
  • Drafts, processes and distributes Owner Applications for Payment and Letter Invoices as directed by the Project Manager
  • Compiles all required payment backup including Subcontractor billing and Lien Waivers
  • Reviews COR’s, PCCO’s, SCO’s, upon approval from the Project Manager, prior to issuing to the Subcontractor or Owner
  • Processes Subcontractor Applications for Payment along with backup documentation
  • Processes deposits electronically and record appropriately
  • Manages accounts receivable invoice processing as directed

Close-out Support

  • Coordinates and assists in Subcontractor Final Applications for Payment
  • Collects all final Unconditional Lien Waivers
  • Administers the O&M process in conjunction with the Project Manager, Assistant Project Manager and Project Engineer to ensure completion
  • Facilitates generation of a single Punch List and distributes to subcontractors and vendors
  • Compiles required documentation for Certificates of Occupation
  • Collects and organizes project documentation for electronic and paper archives

Trade Partner Relationship Management

  • Develops and maintains positive subcontractor relationships utilizing good communication and problem-solving skills
  • Assist with daily invoice processing
  • Manage payment processing and weekly check runs

DESIRED SKILLS + EXPERIENCE

  • 3-5 years of administrative experience
  • Strong interpersonal skills and ability to multi-task
  • Ability to take initiative, work under pressure, and meet deadlines
  • Detail oriented and able to prioritize tasks
  • Enjoys learning
  • Desire to serve the needs and goals of the team
